Managing Newly Added Projects Created By Collaborators

Managing Projects Created By Collaborators

When a Collaborator creates a new project, there are two actions that need to happen from your FOLIO Admin team. This must happen to get your team engaged! If you don't assign team members and a client, the project will not be managed. If you have questions or need additional training on how to help your team manage these newly added projects, reach out to customercare@foliosi.com.

  • All FOLIO Admin users are alerted via email when a new project is created by a Collaborator that needs attention.
  • Click the button on the email received to take action OR navigate to the "Projects" tab in FOLIO and review the projects that fall under "Newly Added" at the top of the Clients & Projects Landing Page.
  • Once inside the project, two things need to happen:
    • Assign a client to the project.
    • Assign internal team members to the project so they can manage it.
  • We'll review how to do those two things!

Assigning A Client to the Project:

  • Once inside the project, navigate to the "Details" tab.
  • Review the name of the client the Collaborator typed in the "Company Name".  Make sure that client exists in your system as a FOLIO Client. If it does not, create it before moving on. You can learn how to do that HERE.
  • Once confirming the Client exists, click "Edit Project Details".
  • Select the right client in the "Client Name" dropdown.
  • Hit "Save Changes".
  • The project will now fall under the right client you chose in the dropdown on the "Clients & Projects" dashboard for all users. It will no longer fall under "Newly Added".

Assigning The Team to the Project:

  • Inside the project, navigate to the "Team" tab.
  • Add the appropriate FOLIO members who will manage the project with the Collaborators and team.
  • The FOLIO Members will receive an email notification they have been assigned to the project.

Voila! You're done.
